This policy explains what personal information Pelagos Private Office Ltd collects, why we collect it, who we share it with and what rights you have over it. It applies to this website and to our advisory engagements.

What we collect

Information you give us. Your name, email address, telephone number, nationality, and the details of your brief — including budget range, timeline, locations of interest and personal circumstances relevant to a move — submitted through a form on this site, by email, by telephone or by WhatsApp.
Information required to act for you. Where an engagement proceeds, identity documents and source-of-funds information necessary for client due diligence, together with the records of those checks.
Information collected automatically. Standard website analytics: pages visited, approximate location derived from IP address, referring source, device and browser type. This is aggregate and is not used to identify you personally.

Why we collect it, and our lawful basis

To respond to your enquiry and deliver an engagement — performance of a contract, or steps taken at your request prior to a contract.
To carry out identity and source-of-funds checks — compliance with a legal obligation.
To send intelligence reports and market commentary where you have subscribed — consent, which you may withdraw at any time.
To understand how the site is used and improve it — our legitimate interest in operating and improving the practice, balanced against your interest in privacy.

Who we share it with

Your brief is not circulated. We do not sell, rent or trade personal information, and we do not share it for anyone else’s marketing purposes.

We share information in only three circumstances:

With a partner, on your specific instruction. Before introducing you to any lawyer, tax adviser, notary, currency specialist or agent, we ask you explicitly and by name. Every partner has given a written confidentiality undertaking before receiving anything. You can decline any introduction, and declining one does not affect the rest of your engagement.
With the service providers who run our systems — email, website hosting, form handling, customer records and analytics. These providers process data on our instructions only, under written terms.
Where the law requires it — for example a valid request from a regulator, a court, or under anti-money laundering obligations.

International transfers

We operate between the United Kingdom and Greece, and some of our service providers are based outside the UK. Where information is transferred outside the UK we rely on an adequacy decision or on appropriate safeguards such as standard contractual clauses.

How long we keep it

Enquiries that do not proceed: retained for up to twenty-four months, then deleted.
Client engagement records: retained for six years after the engagement ends, to meet legal, tax and professional record-keeping obligations.
Anti-money laundering records: retained for the period required by law, ordinarily five years from the end of the relationship.
Subscription lists: retained until you unsubscribe.

Your rights

Under UK data protection law you have the right to: be told what we hold about you and receive a copy of it; have inaccurate information corrected; have your information deleted; restrict or object to how we use it; receive it in a portable format; and withdraw consent at any time where consent is the basis on which we hold it.

To exercise any of these, email hello@pelagosprivateoffice.com. We respond within one month. There is no charge, and you do not need to give a reason. Note that where we are legally required to retain due diligence records, we cannot delete those specific records before the statutory period expires — we will tell you if that applies.

If you are unhappy with how we have handled your information you may complain to the Information Commissioner’s Office at ico.org.uk, though we would ask you to raise it with us first.

Cookies and analytics

This site uses a small number of cookies and similar technologies: those strictly necessary for the site to function, and analytics that tell us in aggregate which pages are read and how visitors arrive. We do not use advertising cookies and we do not permit third-party advertising tracking on this site.

You can block or delete cookies through your browser settings. Blocking analytics cookies does not affect your use of the site.

Security

Access to client information is limited to the adviser responsible for the engagement. We do not operate a shared agent database, and enquiries are not distributed to a sales team. Systems are access-controlled and communications encrypted in transit. No system is perfectly secure, but the smallness of the practice is itself a material privacy protection.

Changes to this policy

If we change this policy we will update the date at the top of this page. Material changes affecting existing clients will be notified directly.
